What you need before connecting WhatsApp to Piya
Before you begin, make sure you have access to the WhatsApp Business account and phone number you want to connect. You should also be ready to sign in with Meta during the setup process.
You may need access to:
- Your Meta account.
- The WhatsApp Business Account you want to use.
- The business phone number customers will message.
- The phone itself, if you need to receive an SMS or voice verification code.
- A secure six-digit PIN for registering the number.
If another person manages your Meta or WhatsApp Business settings, ask them to be available before starting. The connection process may require access to the correct business account and phone number.
How to connect your WhatsApp Business account to Piya
1. Open your business integration settings
Sign in to your Piya admin account and open your business profile or integration settings. Find the WhatsApp connection option and choose Connect WhatsApp.
Piya will show an introduction to the setup. The connection is completed through Meta, where you can sign in and choose the WhatsApp Business account and phone number connected to your business.
2. Continue with Meta
Select Continue with Meta. A Meta sign-in window will open. Sign in using the account that has access to the relevant WhatsApp Business account.
Follow the Meta onboarding steps to choose or create a WhatsApp Business account and select the phone number customers will use to contact your business.
Take your time at this stage. Confirm that you are selecting the correct business account and customer-facing phone number. Connecting the wrong number can make your customer communication confusing later.
3. Allow Piya to complete the connection
After the Meta onboarding flow is complete, Piya saves the approved WhatsApp Business account, phone number, and secure connection details for your business.
The connection may not be completely ready for every action immediately. Piya provides a setup timeline so you can see which parts are complete and which steps still need attention.

Once the account is connected, Piya guides you through the remaining setup steps.
4. Verify ownership of the phone number
Choose Verify ownership in the WhatsApp setup timeline. You can request a verification code by SMS or by voice call.
Enter the code you receive and choose Verify code. When the code is accepted, Piya will mark the WhatsApp number as verified.
If you do not receive the code, check that the phone number is active and able to receive SMS messages or calls. You can also try the other verification method.
5. Register the WhatsApp number
After ownership verification, choose Register number. Enter a six-digit WhatsApp PIN and submit it.
Keep this PIN somewhere secure. It may be needed later if the number has to be registered again or the account needs to be recovered.
6. Send a test message
When the number is registered, use Send test message to confirm that WhatsApp communication is working.
Send the test to a number you can check. Confirm that the message arrives, that the sender details look correct, and that replies are returning to the expected conversation workflow.
Set up WhatsApp message templates
After connecting WhatsApp, open the Templates section in the WhatsApp settings area.
Message templates help you prepare consistent messages for customer follow-up and communication workflows. In Piya, you can create templates for:
- Marketing messages, such as relevant offers or campaign announcements.
- Utility messages, such as practical updates and customer information.
- Messages containing customer details through supported variables.
Give each template a clear lowercase name using letters, numbers, and underscores. Write the message in plain language and include variable examples where needed.
For example, a salon could prepare a utility template like:
Hello {{customer.firstName}}, thank you for visiting our salon. We hope you enjoyed your appointment. Reply to this message if you need help with your next booking.
After saving a template, it is submitted for review. Approved WhatsApp templates can be selected when creating supported customer communication steps, including follow-ups outside the 24-hour reply window.

Connecting WhatsApp is the foundation. Automation becomes useful when you connect the channel to a repeatable customer workflow.

The wrong Meta account was selected
If the wrong WhatsApp Business account or phone number appears during onboarding, stop and review the Meta account permissions before completing the connection.
The verification code does not arrive
Confirm that the number can receive SMS messages or voice calls. Check the number shown in Piya and try the alternative verification method if necessary.
The number is connected but not ready
Use Refresh status in the WhatsApp setup timeline. Piya separates connection, ownership verification, number registration, and testing so you can identify the incomplete step.
A WhatsApp message cannot be used in an automation
Check whether the WhatsApp channel is fully set up and whether the message requires an approved template. If you are sending a message outside the active reply window, select an approved template that matches the purpose of the communication.
